An estimate communicates the expected price of goods or services to a customer before work begins. It helps both sides agree on likely scope and cost up front. It is not an invoice, a demand for payment, or proof of a transaction — the actual price charged once work is complete may differ.

How to create an estimate

  1. Enter your business details, including your GSTIN if applicable.
  2. Enter your customer's details.
  3. Add the estimate number, date and a validity period.
  4. Add one or more line items describing the work, with quantity and unit price.
  5. Apply a discount if needed, and choose No Tax, GST, or a custom tax rate.
  6. Preview the estimate, then download it as a PDF.

Choosing a tax option

Estimates don't always need tax — choose No Tax for a simple pre-work quote. Choose GST to add a standard CGST+SGST or IGST calculation at a slab rate you select (this tool never infers this from a state — you choose it directly). Choose Custom Tax to apply your own rate and label for a tax situation this tool doesn't model explicitly.

An invoice (see the Free GST Invoice Generator) is issued after goods or services are supplied and is a real request for payment, often with legal tax-invoice requirements under GST law that an estimate does not carry.

Should I set a validity period on my estimate?

Yes, it's good practice. Prices for materials, time or third-party costs can change, so setting a 'valid until' date makes clear how long the estimated pricing is honoured for.

Do I need a GSTIN to create an estimate?

No. GST details are entirely optional. You can create an estimate with no tax at all, with a standard GST calculation (CGST+SGST or IGST, whichever you choose), or with a custom tax rate you define yourself.

Can I add a discount to an estimate?

Yes. You can apply a discount as a percentage or a fixed rupee amount — it's applied to the subtotal before any tax is calculated, and can never bring the total below zero.

Can I download the estimate as a PDF?

Yes. Once you've entered your estimate details, you can preview it and download a professional A4 PDF.

Does the tool save my estimate data?

No. Your details are used only in your browser and on the server for the moment it takes to generate the PDF — they are not saved to a database or a Business Software account unless you choose to create one.
