What is a purchase order?
A purchase order is a buyer-side document — it's the order a business sends to a vendor or supplier to formally request goods or services, setting out the items, quantities, agreed price and expected delivery. It is not a tax invoice, a proof of payment, or a receipt, and it is not evidence that goods or services have actually been supplied.

Taxable vs. non-taxable purchase orders
A taxable purchase order shows an estimated GST amount — CGST and SGST when your business and the place of supply are in the same state, or IGST when they differ. This is always an estimate for planning purposes, not a tax invoice under GST law. A non-taxable purchase order shows no GST at all — useful for businesses that aren't GST-registered, or for an order where tax hasn't been determined yet.

Who creates a purchase order — the buyer or the supplier?
The buyer creates and issues the purchase order to the supplier. This is the opposite of an invoice, which the supplier issues to the buyer once goods or services are delivered.

What is the difference between a purchase order and a GST invoice?
A purchase order is the buyer's request to purchase, issued before goods or services are supplied. A GST invoice (see the Free GST Invoice Generator) is a real tax document the supplier issues after supplying them, and is legally required for a taxable supply under GST law — a purchase order is not.
What is the difference between a purchase order and a quotation or proforma invoice?
A quotation or proforma invoice is issued by the seller/supplier as an offer or estimate. A purchase order flows the other way — it's issued by the buyer to formally place an order, often after accepting a quotation or proforma invoice from the supplier.
Do I need a GSTIN to create a purchase order?
No. GST details are entirely optional — you can create a taxable purchase order with an estimated GST amount shown, or a plain non-taxable one with no tax at all.
